Community Association Manager (HOA)
 
The Community Association Manager provides leadership to our client Owner Associations as they seek to build and maintain strong, healthy communities. Association Managers administer the communications, operations, maintenance and financial management for our Association clients.  Responsibilities include enforcement of community rules and regulations, administrative tasks, vendor bids and contract management,  attending/facilitating Board of Directors meetings, Annual Meetings, Committee meetings (when required), inspection of common elements, responding to resident requests, annual budget preparation, oversight of monthly expenses, and capital improvement and repair projects within the budget. Evening Board and Annual meetings required.
 
Our ideal candidate is highly motivated, with a passion for building relationships and serving our owners, and possesses a 'can do' attitude. Excellent leadership, communication, interpersonal, customer service, organizational and budgeting skills are a must. A Bachelor's degree from a four-year college or university is preferred; or four years related experience and/or training; or equivalent combination of education and experience. A designation of CMCA, or AMS is preferred, but not required.

Corporate Receptionist/Administrative Services-Full-time-Corporate office (West Plano)
 
CMA is currently seeking a polished and professional Corporate Receptionist for our office in West Plano. Hours are Full-time, 8-5, Monday-Friday.
 
Summary:  Under the direct supervision of the Customer Care and Administrative Services Supervisor perform functions related to handling in-bound telephone calls, visitors, packages, and lobby maintenance, etc., in accordance with CMA’s mission statement and values.
 
Essential Duties and Responsibilities include the following:

  • Answer and screen all incoming telephone calls and route to appropriate staff.
  • Activate and deactivate night mode for phone system at 5:00 p.m. and 8:30 a.m. daily.
  • Check and route after hours telephone messages daily.
  • Greet guests and direct to appropriate staff.
  • Maintain corporate office staff and visitor sign-in/out notebook.
  • Monitor conference room use and reservations; make reservations as requested; keep conference room and reception area in a neat fashion.
  • Log incoming and outgoing courier, Fedex, UPS, etc., packages and route to appropriate staff member daily.
  • Assist with opening and date stamping mail as needed.
  • Scan and upload images of returned mail into CINC software daily.\
  • Assist Administrative Services Manager with various duties as required.

Minimum Qualifications: High School diploma or GED, and at least 2 years of experience in a professional office setting in a receptionist role, with multi-line phones. Basic Microsoft Office skills in Outlook and Word.

Administrative Services/Mail Clerk-Corporate Office (West Plano)
 
CMA is currently seeking a polished and professional Administrative Services Clerk/Mail Clerk for our corporate office in West Plano. Hours are 8-5, Monday-Friday.
 
Summary:  Under direct supervision of the Customer Care and Administrative Services Supervisor, the Administrative Services Representative is responsible for administrative tasks associated with mailroom responsibilities, such as mail handling, scanning, electronic  invoices, records storage, supply management, etc. in accordance with CMA’s mission statement and values.
 
Essential Duties and Responsibilities include the following:

  • Open, date-stamp and sort incoming mail and distribute mail and packages to appropriate staff member.
  • Copy, scan and fax all documents as requested, handling rush requests promptly, logging faxes and maintaining paper levels in all equipment.
  • Distribute paper invoices to the Accounts Payable department daily, per procedure, and daily monitor invoices@cmamanagement.com and process electronic invoices appropriately.Greet guests and direct to appropriate staff.
  • Prepare outgoing mail daily applying correct postage on all outgoing mail. Prepare overnight deliveries.
  • Maintain the discontinued association list and association assignment report.Log incoming and outgoing courier, Fedex, UPS, etc., packages and route to appropriate staff member daily.
  • Ensure proper association addendum charges by: 1) tabulating copy, scan, fax and supply counts monthly for each association, and 2) creating the addendum upload spreadsheet monthly for corporate accounting.
  • Inventory and order office supplies weekly.  Maintain adequate levels for use by staff and distribute per procedure. This includes general office supplies through Staples, ink cartridges through DataMax and postage meter supplies.
  • Assist the Customer Care & Administrative Services Manager with placing and tracking orders per procedure for storage box handling and record shred functions.
  •  Assist with training of temporary and new permanent staff members as required.
  • Serve as back-up for Receptionist during breaks and lunch; screening and directing telephone calls and visitors to appropriate staff, logging and distributing all packages, maintaining corporate visitor sign-in/out notebook, monitoring conference room use and reservations, and keeping conference room and reception area in a neat fashion.
  • Assist Customer Care and Administrative Services Manager with various other duties and projects as required.

Seasonal Compliance Coordinator-(April through September)-Plano Regional Office
 
CMA is currently seeking a Seasonal Compliance Coordinator for the Plano Regional office, for the months of April through September. The Compliance Coordinator inspects homes in Homeowner's Association communities in order to enforce the Deed Restrictions of the Association. The position involves drive-by inspections using company laptop, generating letters and reports, and customer service follow up with homeowners. This is a temporary Full-time position/40 hours, Mon-Fri., 8-5.

Duties include:

Drive-by inspection of properties in Association neighborhoods for Deed Restriction compliance, issuing violation notices, maintaining accurate records and monthly reports, timely follow-through for violations issued, taking calls and educating homeowners, responding to homeowners’ requests and concerns, and other coordination of compliance issues. Because the position requires drive-by inspections, a reliable personal automobile is a necessity. Mileage reimbursement is provided for all company mileage at the current government rate per mile.

The Compliance Coordinator spends the majority of the day driving the neighborhoods, and then reports to the Allen office to follow up on related administrative/customer service duties.

Qualifications:

High School diploma or GED: and one year related experience and/or training. Must have keen eye for detail, strong customer service skills, and be highly organized. In addition, must have the ability to read and interpret business documents, quickly adapt to new software, write business correspondence, and handle client calls with the utmost of professionalism and courtesy.
